⢠Assist departmental faculty and principal investigators with development, preparation, and submission of grant and contract proposals ⢠Ensure applications and contracts meet agency and university guidelines, timelines, and deadlines ⢠Enter and route proposals for timely review ⢠Reconcile assigned project budgets and prepare complex budget reports ⢠Prepare budget adjustments and corrections for review and approval ⢠Manage and oversee an assigned portfolio of complex grants and contracts ⢠Develop budgets and budget justifications, proofing for inconsistencies and accuracy ⢠Prepare and submit grants and contracts through the pre-award process using sponsor and Duke regulations ⢠Advise faculty/principal investigators on administrative proposal requirements ⢠Assist with internal cost assessment, budget development, and sponsor negotiation ⢠Prepare, coordinate, and review proposal elements such as biosketches, justifications, and facilities and resources ⢠Monitor submission compliance and verify financial information and overhead rates ⢠Review sponsored projects in the Sponsored Projects System for compliance and institutional signatures ⢠Participate in study initiation meetings as needed ⢠Manage assigned projects and financial portfolios ⢠Monitor fiscal performance, identify concerns, and advise on budget adjustments ⢠Monitor proposal status and research protection protocol deadlines ⢠Manage budget, reporting, and compliance timelines throughout the grant or contract lifecycle ⢠Establish sub-recipient financial and reporting requirements and coordinate sub-agreements with ORA ⢠Reconcile monthly budget reports and communicate corrections and adjustments ⢠Identify and submit cost transfers resulting from reconciliation ⢠Prepare and submit re-budgeting and project modification requests ⢠Reconcile and close sub-recipient cost objects and obtain sponsor-required reports ⢠Maintain financial records according to institutional retention guidelines ⢠Monitor patient care expense charging to study cost objects ⢠Manage overdrafts according to unit and institutional guidelines ⢠Ensure proper project revenue recording and apply revenue management standards ⢠Close funded projects according to university processes and timelines ⢠Develop project management plans for faculty/principal investigator or senior administrator review ⢠Make cost-sharing adjustments when needed ⢠Establish SOPs for handling and tracking sponsor payments ⢠Interpret departmental policies and procedures and issue operating instructions ⢠Apply federal and university rules to manage sponsored-award effort ⢠Submit reports to grants and contracts or business administrators when requested
⢠Bachelor's degree program generally acquired through completion of a bachelor's degree program ⢠No experience required for candidates with a Bachelor's or Master's degree directly related to the position ⢠Successful completion of the Research Administration Academy (RAA) Onboarding Training and registration in a learning track within the first 90 days ⢠Maintain requirements for the assigned level ⢠Maintain certification(s) through continuing education requirements after successful completion of expected training ⢠Ability to analyze data and formulate conclusions ⢠Ability to learn changing technologies related to grants and contracts management ⢠Proficient computer use and solid working knowledge of MS Office Suite (Word, Access, Excel, PowerPoint) ⢠Ability to communicate verbally and in writing with all levels of the organization ⢠Ability to manage and prioritize multiple projects/tasks simultaneously ⢠Ability to create verbal and written reports ⢠Knowledge of federal rules and regulations relating to research grant and/or contract activity ⢠Knowledge of Duke University grant and contract policies and procedures ⢠Knowledge of Duke University processes, systems, and offices related to grant and contract submission and management ⢠Ability to apply federal and university rules to effort allocation for individuals compensated from federal awards ⢠Ability to apply costing rules and regulations to federally funded projects ⢠Experience with/ability to perform required functions in SPS, R3, grants.duke, and SES ⢠Understanding of financial processes and controls, including reconciliation ⢠Pre-award and post-award experience strongly preferred ⢠Certified Research Administrator is a plus ⢠University/institutional experience strongly preferred
