• Manage a portfolio of complex grants and contracts from pre-award through post-award stages • Assist faculty/PI with development, preparation, and submission of grant and contract proposals • Ensure applications and contracts meet agency and university guidelines, timelines, and deadlines • Develop budgets and budget justifications and coordinate proposal elements for accuracy and completeness • Advise faculty/PI and study teams on administrative requirements, budget development, negotiations, adjustments, and revisions • Manage assigned projects and financial portfolios, including budget, reporting, compliance, reconciliation, cost transfers, and closeout • Establish sub-recipient financial and reporting requirements and coordinate sub-agreements with ORA • Monitor project fiscal performance, overdrafts, revenue, patient care expenses, sponsor payments, and financial records • Develop project management plans and departmental SOPs for sponsor payment handling and tracking • Apply federal and university rules to manage effort allocation and costing for sponsored awards • Submit reports to grants and contracts managers, divisional administrators, or business managers as requested
• Bachelor's degree program required for the role’s minimum qualifications • No experience required for candidates with a Bachelor's or Master's degree directly related to the position • Tiered roles may require 3 or 6 years of relevant experience depending on tier • Strong knowledge of federal rules and regulations for research grants and contracts • Knowledge of Duke University grant and contract policies, procedures, processes, systems, and offices • Ability to analyze data and formulate conclusions • Ability to learn changing grants and contracts management technologies • Proficient computer use and solid working knowledge of MS Office Suite, including Word, Access, Excel, and PowerPoint • Ability to communicate verbally and in writing with all organizational levels • Ability to manage and prioritize multiple projects and tasks simultaneously • Ability to create verbal and written reports • Ability to apply federal and university rules to effort allocation and costing for federally funded projects • Experience with or ability to perform required functions in SPS, R3, grants.duke, and SES • Understanding of financial processes and controls, including reconciliation • Successful completion of specified Duke financial services, research administration, compliance, human research, budget development, negotiation, and industry-funded clinical research training within the first six months of hire • Research Administration Academy (RAA) completion expected; employees without RAA training must complete it within 12 months • RAA and AGM training requirements apply to applicable tiers • Candidates must reside in one of the approved states for remote work • CRA certification preferred • Experience in an academic institution preferred • Pre-award and post-award management of federally sponsored grants strongly preferred
