âą Execute electronic filings of pleadings, motions, and complex legal documents in federal, state, and appellate courts nationwide âą Serve as the procedural expert for Philadelphia Court of Common Pleas, Pennsylvania state courts, and the U.S. District Court of Pennsylvania filing procedures âą Advise attorneys and paralegals on court rules, judges' practices, and filing requirements âą Resolve electronic filing rejections, docketing discrepancies, and court platform issues âą Support State, Federal, and Pro Hac Vice bar admissions processes âą Perform final quality-control audits of filings for formatting, redaction, signatures, and exhibits âą Verify docket entries, dates, deadlines, and events in Milana âą Calculate and enter litigation deadlines using applicable federal, Pennsylvania, Philadelphia, state, and local rules âą Review incoming litigation documents and enter deadlines, discovery schedules, and event reminders âą Alert attorneys and paralegals about urgent deadlines and document filing confirmations âą Conduct docket sweeps, audits, case-status reconciliations, and capture non-deadline-triggered events âą Research litigants, cases, dockets, and judicial profiles using legal research databases âą Prepare and distribute customized docket reports to legal teams across multiple offices âą Assist with training and mentoring junior docketing or filing personnel
âą 5+ years of recent litigation docketing and court filing experience within a mid-to-large law firm âą Well-rounded national experience with specialized emphasis on Pennsylvania county, state, and federal courts âą Deep understanding of court structures, litigation lifecycles, and civil procedure âą Mastery of Philadelphia state and federal court rules âą Meticulous accuracy in reviewing legal documents and calculating statutory deadlines âą Ability to prioritize multiple urgent tasks under tight, competing time constraints in a high-volume litigation environment âą Excellent verbal and written communication skills âą Expert proficiency in rules-based docketing systems, with Milana and/or CompuLaw preferred âą Extensive hands-on experience with PACER/ECF, PA-eFile, and Odyssey or similar court e-filing databases âą Proficiency in iManage or similar document management systems âą Proficiency in Adobe Acrobat Professional for document manipulation, splitting, and redaction âą Proficiency in Microsoft Word, Excel, and Outlook âą Familiarity with State, Federal, and Pro Hac Vice bar admissions processes âą Willingness to assist in training and mentoring junior docketing or filing personnel âą Experience filing in state and/or federal court âą Experience with electronic filing âą Ability to convert PDF documents to Word and clean scanned documents for editing
