• Lead planning and execution of BBBSA’s national conferences, meetings, leadership convenings, fundraising events, donor cultivation experiences, and stakeholder engagement programs • Develop project plans, timelines, workback schedules, execution frameworks, standard operating procedures, templates, documentation, and event playbooks • Oversee event logistics, production, registration, housing, transportation, food and beverage, audiovisual, shipping, security, risk management, accessibility, safety, and attendee experiences • Serve as primary operational decision-maker during onsite events • Implement sponsorship activation strategies, stakeholder engagement initiatives, and branded experiences • Monitor event performance and attendee satisfaction; develop post-event reporting, analysis, insights, and recommendations • Develop and reconcile event budgets; negotiate and manage venue, hotel, production, technology, and vendor contracts • Execute RFPs, venue sourcing, and site selection; evaluate vendors and venues and secure stakeholder buy-in • Monitor financial performance and identify cost savings and operational efficiencies • Develop exhibitor prospectuses and manage solicitation of new and recurring exhibitors • Lead event communications, presentation materials, content calendars, websites, intranet content, mobile applications, program guides, email campaigns, digital signage, and social media • Coordinate speakers, sponsors, exhibitors, donors, board members, affiliate leaders, and attendees • Manage sponsor and exhibitor fulfillment and contractual benefits • Support cultivation and fundraising events through operational planning and execution • Recruit, train, retain, and develop direct reports; supervise event staff and external contractors • Lead event planning teams and project workgroups and foster cross-functional collaboration • Demonstrate BBBSA values, shared leadership competencies, and commitment to an inclusive workplace
• Bachelor’s degree or equivalent experience is required • Equivalent combinations of education and progressively responsible experience may be considered • 6+ years of progressively responsible experience in conference management, event production, nonprofit events, stakeholder engagement, fundraising events, or related disciplines • Demonstrated experience leading large-scale conferences and national events • Experience managing budgets, contracts, vendors, and complex event logistics • Experience supporting executive leadership, boards of directors, sponsors, and donors • Strong project management, organizational, presentation, and communication skills • Advanced creative problem-solving skills and flexibility • Keen organizational and time-management skills and strong attention to detail • Exceptional interpersonal skills across internal and external levels • Ability to manage multiple projects or priorities simultaneously • High self-motivation and initiative • Excellent verbal and written communication skills • Proficiency in Microsoft Office, CRM and/or AMS platforms, event registration systems, and online applications • Experience negotiating and building partnerships with vendors, sponsors, and exhibitors • Ability to apply knowledge and skills independently within Asana • Intermediate to advanced administrative experience preferred • Certified Meeting Planner certification preferred, not required
