• Provide high-level administrative and office management support to the Assistant Secretary, Principal Deputy Assistant Secretaries, Deputy Assistant Secretaries, and other senior NEA officials • Receive, schedule, direct, and respond to telephone calls; appropriately refer or handle inquiries • Maintain senior officials’ schedules and manage meetings, appointments, and briefing memoranda • Arrange oral briefings and ensure meeting participants are properly informed • Coordinate social engagements associated with official responsibilities • Coordinate complex and last-minute travel arrangements, including appointments, hotels, passports, visas, and travel advances • Prepare travel vouchers, authorizations, itineraries, and expense estimates • Maintain knowledge of E2 Travel Solutions and assist with electronic travel vouchers and expense documentation • Serve as liaison among senior officials, their staffs, and other Department offices • Keep colleagues and senior NEA leadership informed about plans, commitments, activities, and matters under consideration • Transmit and interpret instructions to staff and Department officials • Conduct information searches, compile data, and perform preliminary analyses • Take and transcribe meeting notes • Carry out special assignments requiring tact, diplomacy, and knowledge of senior leadership’s views • Prepare correspondence, telegrams, memoranda, briefing papers, and reports in accordance with Department style requirements • Review, route, compose, process, and edit correspondence and written communications • Maintain correspondence files, office files, and records • Work with classified and unclassified computer applications and Microsoft applications • Perform other authorized and job-related duties as assigned
• Minimum of 5 years of work experience with the Department of State or a similar agency carrying out administrative and policy functions • Excellent knowledge of Department of State operations • Strong overall office management experience • Experience as a senior-level secretary/office manager working effectively under pressure • Working knowledge of personal computers and general administrative practices • Excellent writing and communication skills • Ability to work effectively in a fast-paced environment and respond to rapidly changing requirements • Demonstrated experience working with classified and unclassified computer applications • Proficiency with Microsoft applications, including Word and Excel • Ability to exercise a high degree of judgment, discretion, tact, and diplomacy when supporting senior government officials • Ability to manage complex executive schedules, correspondence, meetings, travel, and competing priorities • Security Clearance: TS/SCI • Must pass pre-employment qualifications of Cherokee Federal
