• Provide day-to-day program administration, including data entry and meeting preparation • Organize and maintain participation records, reports, and process guides across SharePoint and other systems • Review records for accuracy, correct errors, remove duplicates, and standardize naming and filing • Test new system features, support requirements gathering, assist with data quality control, and develop training tools and guides • Research customers, contractors, incentives, and program requirements and summarize findings • Support process redesigns, operational improvements, and reporting tools • Prepare and send physical program-document and HEA-report mailings to customers without email access • Support customer and contractor communications via phone and email • Guide participants through enrollment, participation, and follow-up • Help coordinate and route inbound calls and ensure inquiries are logged and directed appropriately • Help customers navigate eligibility, documentation, and application/project status • Coordinate with program staff, contractors, and community partners to keep projects moving • Escalate participant and process challenges to support program development
• Candidates must reside in Oregon or SW Washington • Strong attention to detail, organization, and problem-solving under deadlines • Strong Microsoft Office skills, including Excel, SharePoint, and PowerPoint • Power BI a plus • Strong writing and reporting skills • Ability to work independently and manage multiple priorities • Strong communication skills with patient, compassionate phone/email etiquette • Experience with customer service or program navigation, including application, enrollment, or intake support • 2–5 years in nonprofit, residential contracting, community organizing, environmental advocacy, or similar fields • Bilingual Spanish a plus • If applicable, meet all DOT qualification requirements and comply with applicable federal, state, and local transportation regulations • Must be authorized to work in the country where the position is located without employer sponsorship or support • Successful hires must pass pre-employment checks
