• Lead the administrative operating system for Remote Services • Lead, develop, and hold the broader admin team accountable • Set expectations, run structured one-on-ones, and conduct performance reviews • Own the team coverage model with named primary and backup coverage • Build and maintain weekly operating cadences, escalation protocols, action-item accountability, and leadership reporting • Develop administrators through coaching and structured development • Set intake, prioritization, and escalation decisions for the admin team • Oversee purchase order lifecycle management across all accounts • Manage change order administration end-to-end • Oversee invoicing runs and billing accuracy across the account portfolio • Monitor contract expiry, renewals, excess charges, rate reviews, and scope changes • Maintain accurate billing records and support budgeting and forecasting • Serve as escalation point for billing disputes, purchase order queries, and invoicing questions • Administer service management platform configuration, automations, routing rules, service levels, users, groups, and change control • Oversee timesheet and time-entry system administration and reconciliation • Administer the customer onboarding workflow tool • Maintain bookings, work orders, and charge-code administration • Own document-control standards and the procedure library • Oversee administrative customer onboarding from intake validation through go-live confirmation • Maintain onboarding delivery standards and drive recovery plans or escalations • Oversee administrative field dispatch coordination and dispatch automation • Coordinate on-call rotation execution and schedule management • Compile and analyze Quarterly Business Review data • Prepare and deliver monthly and quarterly operational and financial reports • Serve as the operational interface with Sales, Finance, account executives, and branch leadership • Identify process gaps and drive practical improvements • Execute work in accordance with regulations, best practices, and company health, safety, and compliance policies
• Demonstrated financial and commercial operations acumen, including purchase order lifecycle management, change order administration, multi-account invoicing, and contract and renewal tracking • Ability to govern operational platform configuration, including testing, documentation, change control, and ongoing maintenance • Strong working knowledge of service management or ticketing platforms, including automation logic, routing rules, and service-level configuration • Familiarity with ERP or commercial systems supporting booking, work order, charge-code, and invoicing workflows • Experience with project or workflow management tools at an administrative or configuration level • Strong people leadership, including setting expectations, developing individuals, conducting structured performance conversations, and holding a team accountable • Excellent delegation skills, including building coverage models and team ownership • Program or project management discipline, including managing concurrent workstreams and delivery cadence • Strong data and reporting skills, including proficiency in Excel and business intelligence tools • Ability to author clear, structured procedures and maintain them in a governed document library • Exceptional written and verbal communication • Strong stakeholder management • High attention to detail in a billing and financial context • Proficiency in Microsoft Office, including Outlook, Excel, Word, PowerPoint, and document management platforms • Capacity to adapt to changing priorities and lead through transitions • Diploma or bachelor’s degree in Business Administration, Finance, Operations Management, or a related field preferred • Equivalent combination of education and directly relevant experience may be considered • Minimum of 5 years of experience in operations, contract administration, financial operations, service operations, or program/project management • Minimum of 2 years in a supervisory or lead capacity • Proven experience administering or configuring an operational platform beyond the user level • Experience managing contracts, renewals, rate reviews, or account financial health in a service or managed services environment preferred • Experience in Remote Services, managed services, service operations, or a field-service environment preferred
