📋 Description

• Own applicant tracking system accuracy, including duplicate records, stalled pipelines, missing feedback, mislabeled stages, and misplaced candidates • Set up hiring rounds, including stages, interview kits, feedback forms, and permissions • Maintain and improve templates • Post roles to the careers page, external boards, and communities • Maintain an up-to-date hiring tracker • Produce reporting on pipeline volume, time to hire, stage conversion, and applicant sources • Own ATS integrations with IT support • Administer work tests and skills assessments end to end, including issuing, tracking, reviewer coordination, and candidate payment • Assist with drafting, formatting, and filing skills assessments • Manage the careers inbox and respond to or route candidate questions • Assist recruiters with status updates, rejections, and next-step instructions • Schedule interviews across time zones • Support other administrative work that keeps active hiring rounds moving • Gain exposure to application review and candidate sourcing • Assist the People Operations team as recruitment volume changes • Report to the Head of People

🎯 Requirements

• 1–3 years in a coordination, administrative, or operations role, ideally supporting hiring • Hands-on experience working in an applicant tracking system, CRM, or similar software • Comfort with spreadsheets and basic reporting • Clear, warm written communication • Strong organization and attention to detail • Discretion with confidential candidate and employee information • Comfort with remote work and asynchronous communication across time zones • Professional-level English proficiency; application materials must be submitted in English • Nice to have: Experience using Lever or a comparable applicant tracking system • Nice to have: Experience at a small organization that grew quickly • Nice to have: Exposure to sourcing, application review, or other recruiting work • Nice to have: Experience coordinating hiring across multiple countries • Nice to have: Comfort automating repetitive work using Claude and other integrations
