📋 Description

• Identify, evaluate, and qualify subcontractors in markets with active or anticipated work • Run end-to-end subcontractor onboarding, including W-9s, insurance, licenses, safety documentation, and master subcontract agreements • Set vendors up in accounting and project systems • Request, compare, and negotiate quotes and rate sheets • Maintain a current rate database for consistent scoping and proposal pricing • Maintain the approved subcontractor list by region, service type, capacity, and performance history • Flag coverage gaps and confirm vendor availability before mobilization • Gather field feedback and recommend vendors to keep, develop, or replace • Verify subcontractor certificates of insurance and request broker-issued COIs naming required parties • Support bond requests and manage business licensing and contractor registration requirements • Track document expirations and maintain an accessible document repository • Obtain permits, COIs, licenses, registrations, and bonds required by agencies or clients • Maintain agency requirement references, shared trackers, and templates • Serve as backup for 811 design ticket submissions and other coordinator tasks • Reconcile subcontractor invoices against POs, quotes, and field-confirmed quantities • Resolve invoice discrepancies and keep payment status visible with Finance

🎯 Requirements

• 2 to 4 years of experience in subcontractor or vendor management, construction administration, or a comparable operations support role • Working familiarity with certificates of insurance, additional insured requirements, bonds, and contractor licensing • Comfort working with insurance brokers, sureties, and state and municipal licensing offices, or ability to learn their processes quickly • Strong organization and attention to detail across many open items, projects, and vendors at once • Clear written and verbal communication skills and persistence to follow up until items are closed • Proficiency with Microsoft 365 or Google Workspace, especially spreadsheets • Ability to learn new project and accounting tools • Ability to work independently and prioritize in a fast-moving, remote-first environment • Experience in the utility, civil construction, engineering services, or field services industries • Familiarity with how traffic control, utility locating, or survey subcontractors price their work • Exposure to construction accounting workflows, including POs and invoice matching, or ERP and AP systems • Exposure to permit document requirements from DOTs, municipalities, or railroads, or to 811 design ticket submissions
