• Manage the day-to-day lien resolution process across multiple lien categories, including Medicare, Medicaid, Military, and private lienholders • Develop, maintain, and improve workflows for timely lien submission, review, negotiation, and finalization • Monitor project milestones and identify bottlenecks affecting lien resolution or client distributions • Coordinate attorneys, paralegals, contractors, and external vendors involved in lien administration and settlement distribution • Establish and maintain standard operating procedures for lien tracking, reconciliation, and reporting • Maintain complex datasets using advanced Excel functions, formulas, pivot tables, lookups, and reporting tools • Track lien metrics, including submissions, lien requests, conditional payments, negotiations, approvals, and final demand letters • Analyze operational data for trends, workload projections, staffing needs, and process improvements • Create dashboards and reports providing leadership with status updates and performance metrics • Conduct quality assurance reviews to ensure data integrity and accuracy • Oversee lien tracking and reconciliation throughout the settlement lifecycle • Monitor lienholder responses and coordinate follow-up efforts • Collaborate with attorneys and lien resolution professionals on audits, negotiations, and dispute resolution • Verify lien amounts and distribution calculations • Coordinate final lien reconciliation before client distributions • Prepare and maintain monthly distribution worksheets and supporting reports • Validate settlement awards, attorney fees, expenses, lien amounts, and net client recovery calculations • Ensure liens are finalized and documented before authorizing client distributions • Work with accounting, legal, and operations teams to ensure timely and accurate distributions • Recommend and implement efficiency, accuracy, and scalability improvements • Develop automated reporting solutions and Excel-based tools • Create staffing forecasts and workload analyses based on lien volume and response trends • Support leadership with resource planning and operational decision-making
• Bachelor's degree or equivalent professional experience • 2+ years of project management, operations management, legal operations, settlement administration, lien resolution, or related experience • Advanced Microsoft Excel skills • Strong analytical and problem-solving abilities • Experience managing large datasets with a high degree of accuracy • Exceptional organizational skills and attention to detail • Ability to manage multiple projects and deadlines simultaneously • Experience with Medicare, Medicaid, Military, or private lien resolution • Experience in mass tort, personal injury, settlement administration, or legal operations • Knowledge of settlement distribution processes and reconciliation requirements • Ability to work outside standard business hours as needed • Ability to lift and carry up to 15 pounds • Ability to travel periodically to other firm offices and locations as required
