📋 Description

• Manage repair-related rental programs by verifying rental status, approving or denying rental requests, validating rental invoices, and troubleshooting vehicle availability issues • Review and monitor the third-party repair-order workflow • Manage escalations and exceptions, including system enhancements, vehicle service history review, labor time analysis, and labor/part pricing decisions • Audit completed repairs against authorizations, manufacturer recommendations, warranty coverage, and program guidelines • Reconcile invoices against approved estimates and resolve billing variances and unauthorized add-on charges • Communicate repair status, timelines, costs, approvals, delays, and cost changes to customers and Customer Success • Track vendor turnaround time, cost adherence, and service-level data; prepare vendor scorecards and escalation details • Maintain records of approvals, audits, and repair costs; track spend against budget • Produce recurring reporting on maintenance spend, vehicle downtime, and cost-saving opportunities • Help expand maintenance services by drafting process documentation, supporting vendor onboarding, testing workflows, and identifying operational issues before launch

🎯 Requirements

• 2+ years of experience in fleet services, automotive service management, warranty administration, claims, vendor management, or operations involving cost review and third-party accountability • Willingness to raise discrepancies and pursue resolution despite vendor pushback • Ability to read repair estimates and invoices and distinguish necessary work, upsell, and warranty- or service-contract-covered work • Fluency in Excel, including lookups, formulas, and analysis • Confidence navigating databases or operational tools • Improvement-minded approach in a growing service line with evolving processes • Strong customer-facing communication skills, including explaining repair decisions, timelines, and unexpected costs to non-technical audiences • Familiarity with fleet maintenance or telematics platforms • Familiarity with data analytics tools such as Sigma or Tableau • Familiarity with workflow/project management tools such as Jira or Confluence • Familiarity with cloud file systems such as SharePoint • Ability to quickly learn EV-specific maintenance, high-voltage service requirements, and differences between EV and internal-combustion-vehicle service • Alignment with the employer’s core values and ability to demonstrate them in professional interactions
