📋 Description

• Lead development of standard proposal submittals aligned with RFP requirements, client needs, and company standards • Coordinate and lead proposal kickoff and quality review meetings • Serve as the primary point of contact for proposal efforts, engaging internal teams and external partners • Support planning, coordination, and execution of high-value strategic proposals with the Proposal Manager • Coordinate collection and integration of resumes, project descriptions, forms, and administrative content • Manage proposal logistics, version control, and document management within collaborative platforms • Draft, edit, and refine technical and marketing content, including resumes, project descriptions, and executive summaries • Maintain and refine reusable content libraries, including resumes, project sheets, and boilerplate responses • Ensure content reflects company capabilities, experience, and achievements while following branding guidelines • Identify and recommend improvements to proposal workflows, templates, and tools • Collaborate with technical teams, proposal staff, and leadership to gather information and align project strategies • Review proposals for accuracy, compliance, and consistency with branding and industry standards • Develop and manage proposal schedules to ensure deadlines are met

🎯 Requirements

• Bachelors degree in Marketing, Communications, Business, or a related field • 3-5 years of experience in proposal coordination, with expertise in the AEC industry • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) • Proficiency in Adobe Creative Suite (InDesign) • Strong organizational skills • Strong writing, editing, and communication skills • Exceptional attention to detail • Proven ability to manage multiple projects under tight deadlines in a fast-paced environment • Preferred: Experience with proposal management and CRM software (e.g., Deltek Vantagepoint) • Preferred: Familiarity with federal, state, and local government procurement processes and compliance requirements • Preferred: Familiarity with AEC terminology, processes, and standards • Preferred: Creative design skills • Preferred: Persuasive writing skills
