📋 Description

• Source relevant stories and authors and solicit written content for the bi-weekly AI newsletter • Coordinate newsletter production, editorial workflow, writer scheduling, targets, and metrics tracking • Implement and coordinate the AI Spotlight Series with external contractors • Oversee scheduling, event coordination, coach identification, live translator sourcing, regional promotion partnerships, technical support, and trainee surveys • Support community-building initiatives, promotion, and technical support for the AI Spotlight Series • Identify in-person coaching opportunities and coordinate event planning • Manage training-session applications, including reviewing applications and selecting candidates • Liaise with coaches, videographers, external contractors, and other partners to produce the online curriculum • Support ongoing AI Spotlight Series curriculum development • Coordinate content and design updates to the AI Spotlight Series website • Build and maintain dashboards for website traffic and other metrics • Liaise with web developers and others on data analysis • Manage the AI Listserv through moderation, content writing, and platform administration • Process paperwork for reporting projects, schedule grantee and program payments, book travel insurance, track deliverables, and finalize project statuses • Support grant paperwork processing, status tracking, issue troubleshooting, and escalation across AI programs • Administer programmatic payments to external partners, fellows, grantees, and others • Track impact and create metrics for decision-making • Coordinate with Communications on promotion of events, programs, and resources • Support funder communications and reports with data, reports, and drafted content • Organize panels, logistics, and travel for AI team members and grantees attending affinity conferences • Support development and launch of AI products and programming • Manage and reply to editorial email questions • Support Editorial administrative tasks, including collecting and analyzing grantee demographic data • Support website content development and internal website publishing • Provide copywriting support for email and website content • Participate in organizational planning, culture, values, training, meetings, committees, special projects, and events

🎯 Requirements

• 5 years of experience supporting administrative and programmatic activities for distributed teams • Demonstrated interest in or knowledge of tech impact on society, algorithmic accountability, and related issues • Experience in or demonstrated interest and understanding of AI in journalism and media • Ability to work independently and take initiative • Strong organizational and communication skills, with ability to handle several projects simultaneously and on time • Ability to develop and maintain agile and efficient workflows and systems supporting a complex program • Cultural awareness and sensitivity to work across nationalities with colleagues and grantees • Proficiency speaking one or more Pulitzer Center languages plus English: Spanish, Portuguese, Bahasa Indonesia, or French • Background in grant administration or payment processing in a nonprofit context • Ability to center equity and collaboration in all aspects of the work • Familiarity with training coordination, including virtual event logistics and survey analysis • Experience building newsletters with community management, including listservs or online communities • Knowledge of website analytics tools and accessibility best practices
