• Lead planning and execution of assigned US and global congresses, national meetings, and internal corporate events • Manage venue selection, transportation, catering, room layouts, registration, housing, audiovisual services, and attendee communications • Provide end-to-end management of standalone meetings and ancillary events • Develop and manage event budgets, track expenses, process invoices, and maintain financial reporting • Support forecasting, reconciliation, and budget planning with Finance and leadership • Manage meeting agencies, congress partners, venues, and third-party vendors • Support vendor selection, contract negotiation, and performance management • Oversee event readiness, agendas, meeting materials, registration, attendee management, and onsite logistics • Provide onsite leadership for key events and resolve operational issues • Coordinate booth management, meeting rooms, speaker support, registration services, and event teardown • Support attendee communications, event promotions, and registration campaigns • Ensure compliance with healthcare regulations, industry guidelines, company policies, and HCP spending requirements • Monitor event activities and maintain documentation, approvals, and reporting • Identify and mitigate operational and compliance risks • Conduct post-event evaluations, analyze metrics and attendee engagement, and improve future programs • Develop scalable processes, tools, and best practices for the Meetings & Events function
• Bachelor's degree in Hospitality Management, Event Management, Marketing, Communications, Business Administration, or a related field required • Minimum of 7 years of experience planning and executing meetings, congresses, and events in the pharmaceutical, biotechnology, or healthcare industry • Demonstrated success managing global events and working with international stakeholders and vendors • CMP, CMP-HC, CMM, or similar certification preferred • Proficiency with Microsoft Office Suite, including Excel and PowerPoint • Experience with event management platforms such as Cvent, ExhibitForce, or equivalent meeting technologies • Familiarity with budget management, registration systems, and event analytics tools • Ability to influence and collaborate across diverse stakeholder groups in a fast-paced environment • Experience managing complex, cross-functional initiatives with multiple priorities • Exceptional organizational and project management skills; ability to manage multiple events simultaneously • Ability to prioritize work, meet deadlines, and deliver results under pressure • Outstanding verbal, written, and interpersonal communication skills • Ability to engage effectively with senior leaders, healthcare professionals, vendors, and cross-functional teams • Resourceful and proactive approach to challenges and issue resolution • Experience negotiating vendor contracts and managing event budgets • Strong attention to detail and commitment to operational excellence • Experience planning and managing meetings across multiple geographies and cultures • Ability to work effectively with global stakeholders, vendors, and service partners • Additional language proficiency valued but not required
