USACS is the Undergraduate Student Alliance of Computer Scientists at Rutgers University that organizes events and runs collaborative spaces for computer science students. It maintains resources such as the Coding and Social Lounge (CSL), a Linux-station Command Center, a Hackerspace with 3D printers, robotics, and Oculus Rifts, and a Makerspace for hands-on hardware projects. USACS helps students get involved outside the classroom through workshops, social events, and access to tools and facilities for building hardware and software projects.

📋 Description

• Coordinate various national clinical recruiting events • Maintain event lists and provide event reports to recruiters and recruiting leadership • Manage company event registration, representatives, shipments, attendee RSVPs, sponsorship opportunities, event materials, and supplies • Process event leads in the applicant tracking system • Manage event-related expense reporting and corporate credit card reconciliation • Maintain supplies inventory and recommend replenishment • Identify and escalate roadblocks, delays, and concerns • Manage recruiting-related candidate/new-hire payment submissions and tracking • Coordinate cross-functionally with Recruiters, Credentialing, Accounts Payable, candidates, and external recipients • Develop and send detailed agendas for on-site interviews • Capture inbound candidate leads and assign them to appropriate recruiters • Contribute to projects and process-improvement recommendations • Assist with configuration and implementation of new tools and systems • Support other Recruiting Coordinators • Maintain accurate records in ATS, HRIS, and enterprise systems • Coordinate candidate travel for on-site interviews when needed • Perform other duties as assigned

🎯 Requirements

• Associate’s or Bachelor’s degree, or equivalent experience, is required • 3–5+ years’ experience in Administrative support, Human Resources, Recruiting, or related is required • Strong experience with Microsoft Office suite: Word, Excel, PowerPoint, Outlook, etc. • Strong knowledge of Zoom videoconferencing and instant messaging tool • Excellent time management and organizational skills • Ability to multitask and manage various projects and timelines • Self-starter able to identify and navigate potential roadblocks and pitfalls • Strong professional judgment and trustworthiness • Experience in a cross-functional role and/or fast-paced organization • Ability to manage corporate credit card use and reconciliation and financial programs and processes • Ability to maintain high customer experience and satisfaction • Ability to adapt and interact with internal and external stakeholders • Thorough knowledge of Microsoft Windows-based software • Exceptional attention to detail and ability to produce accurate work • Ability to prioritize and manage competing activities and duties • Ability to work overtime and provide extra effort when needed • Flexibility to accommodate department needs, including early starts, late finishes, or postponed lunches • Effective oral and written communication with employees, candidates, leaders, and external contacts • Ability to maintain confidentiality • Ability to identify, research, and resolve problems and discrepancies • Ability to improve ways of working through sustainable processes • Ability to maintain patience and composure in difficult situations • Ability to identify emerging issues and communicate them to management • Ability to sit for prolonged periods and occasionally walk, stand, bend, stoop, and lift at least 30 pounds • Required close visual acuity
