• Support a growing mental health practice • Manage calls, messages, and emails promptly • Complete new patient intake tasks • Check clients in/out for appointments • Manage daily schedule and send reminders • Collect copays and fees at time of service • Verify demographic and insurance information • Upload insurance cards and update electronic health records (EHR) accurately • Conduct initial insurance pre-checks • Track leads and communicate with the owner regularly about practice growth metrics • Prepare daily reports of completed tasks and maintain HIPAA-compliant communication
• Prior experience as a Virtual Assistant or in a medical office setting • Familiarity with insurance terminology, basic verification practices, and HIPAA compliance • Excellent phone and written communication; professional and empathetic client interaction • Experience with EHR systems (Tebra preferred), marketing platforms, and reliable internet with a dedicated workspace • Email marketing (Mailchimp, ConvertKit, Flodesk) • Social media content scheduling and posting • Website/blog formatting and basic SEO understanding • Mental health or healthcare administrative experience preferred
