📋 Description

• Handle routine correspondence and inquiries with precision. • Communicate with Executives, managers and others across all levels of the organization while maintaining professionalism, tact and diplomacy in all interactions. • Utilize business software applications (e.g., Word, PowerPoint, Excel, etc.) to prepare and format correspondence, reports, presentations, agendas, and minutes. • Oversee and manage calendars, scheduling and coordinating meetings across multiple calendars and time zones. • Arrange all aspects of business travel including flights, hotels, transportation, visas, and permits. • Plan and coordinate logistics for meetings and events, including agenda preparation, food and beverage arrangements, and on-site management. • Lead and support strategic initiatives by coordinating with various departments to ensure projects are executed on time and within scope. • Liaise with the legal department to review and manage contracts, non-disclosure agreements (NDAs), and other legal documents as needed. • Collaborate with the finance team to monitor budgets, track expenses, and manage financial reporting.

🎯 Requirements

• 5+ years of proven experience as an Executive Assistant, preferably within a fast-paced and global environment. • Experience within the cybersecurity industry a plus. • University degree or advanced degree preferred. • Exceptional organizational skills with the ability to manage multiple priorities simultaneously. • Discretion and confidentiality in handling sensitive information. • Superior problem-solving skills and the ability to work independently. • Ability to work collaboratively across all departments and levels of the organization, and with external partners. • Strong written and verbal communication in English, with attention to detail. • Proficiency in Microsoft 365: PowerPoint, Excel, Word, OneNote, Teams and Cloud-based document management (e.g., Google Workspace, Microsoft OneDrive). • Familiarity with the following systems will be considered as advantage: Workday, Alchemer (ex-SurveyGizmo), Surveysparrow, SAP Concur, Camtasia, Atlassian products: JIRA, Confluence, Tableau.
