📋 Description

• Enter customer orders into internal systems accurately • Track orders from entry through completion and ensure milestones are met • Coordinate and schedule shipments with internal teams and third-party carriers • Communicate shipment status and delivery timelines to stakeholders and customers • Generate and enter invoices into QuickBooks accurately and on time • Verify pricing, quantities, and terms against proposals, purchase orders, and contracts • Coordinate with sales, engineering, and operations to ensure correct order details • Maintain records of orders, invoices, shipment documentation, and customer files • Assist with customer inquiries about order status, billing, and deliveries • Support accounts receivable efforts by monitoring and following up on outstanding invoices • Assist with month-end closing activities and reporting • Identify and promptly resolve discrepancies in orders, shipments, or invoices

🎯 Requirements

• 2+ years of experience in order entry, invoicing, or accounting support • Proficiency in QuickBooks (required) • Strong attention to detail and accuracy • Experience in an industrial, manufacturing, or distribution environment preferred • Ability to read and understand purchase orders, quotes, and basic technical documentation • Strong organizational and time management skills • Excellent written and verbal communication skills • Proficiency in Microsoft Office, including Excel, Outlook, and Word • Experience with engineered-to-order or project-based businesses is nice to have • Familiarity with ERP or job tracking systems is nice to have • Exposure to pump systems, cooling systems, or industrial equipment is a plus • Ability to work Mondays through Fridays, 8:00 a.m. to 5:00 p.m. EST • English-language resume required • Must be amenable to working in a U.S. timezone • Must be comfortable working as an independent contractor • Must have or provide own equipment, taxes, and benefits as an independent contractor
