📋 Description

• Monitor and triage the admin inbox daily • Draft replies to client enquiries using provided templates • Send quote follow-up emails after 5 business days without a response • Follow up outstanding invoices with reminder emails • Forward urgent items to the business owner immediately • Format and finalise quote documents in Word or Excel • Compile tender response documents • Update and maintain the quote register spreadsheet • Prepare service repair quote templates • Proofread documents before sending • Enter new job details into the job management system • Update job notes and statuses • Pull and format basic reports • Flag overdue or incomplete jobs • Book client appointments and site visits via Simpro • Send client confirmation emails • Assist with staff scheduling reminders and leave tracking • Prepare daily or weekly job schedules • Maintain client contacts in Simpro • File and organise documents in OneDrive • Update client, job, and financial spreadsheets • Track staff certifications and licence expiry dates • Prepare weekly admin summary reports • Cross-check purchase orders against invoices • Prepare overdue debtor lists • Assist with basic accounting data entry • Organise expense receipts for the accountant • Create and manage the company's Facebook profile • Research, draft, and place recruitment advertisements on Facebook • Manage and update the company's LinkedIn profile • Draft and schedule Facebook and LinkedIn posts • Monitor social media messages and enquiries • Source and resize social media images and graphics • Assist with ISO 9001, ISO 45001, and ISO 14001 accreditation documentation • Organise quality procedures, forms, and registers • Track audit checklist action items and requirements • Maintain quality document version control and filing in OneDrive • Coordinate review deadlines and remind the business owner of milestones • Load plant and equipment asset data into Simpro • Upload asset photographs to asset records • Assist with service report template development and formatting • Build and configure AS 1851-compliant service report templates • Test and review service report forms • Liaise with the business owner to refine report layouts and checklist items

🎯 Requirements

• Philippines-based candidates • Strong written English — professional, clear, and concise • Proficient in Microsoft Office (Word, Excel, Outlook) • Proven experience using a job management system such as SimPro • Familiarity with Facebook Business and LinkedIn company pages • Organised with good attention to detail • Able to work independently and manage their own time • Reliable internet connection and own computer equipment is a must • Basic understanding of ISO management systems or quality documentation is an advantage • Previous experience supporting a trades or construction business preferred • Ability to align with AU business hours (approximately 9 AM–5 PM, Monday to Friday) for collaboration • Must disclose any existing ongoing roles or client work • Must reflect this engagement on LinkedIn as “Independent Contractor”
