📋 Description
• Coordination: Act as the interface to business partners, clients and service providers — written and verbal • Communication: Draft, prepare and respond to emails (including on behalf of management) • Appointment Coordination: Schedule and coordinate meetings and events (in-person and online via Zoom, etc.) • Standard Operating Procedures (SOPs): Structure and optimize internal processes and produce clear documentation so team members can execute tasks efficiently, consistently and transparently. • Document Management: Organize and provide training materials, contracts, certificates, etc. • Travel Planning: Book flights, hotels and restaurants (including consideration of membership programs such as miles, points and upgrades)
🎯 Requirements
• Digital native: Comfortable using tools such as Google Workspace, Notion, ChatGPT, and similar • Excellent written and spoken English and German • Outgoing and communicative; you engage with people proactively • You take initiative, are solution-oriented rather than problem-focused, and work independently • You are passionate about your work — and willing to go the extra mile outside regular hours when needed • Reliability and a hands-on mentality are not just words for you but a mindset • Experience in a similar role is a plus but not required
