📋 Description

• Coordinate Flamma’s operations, systems, processes and tools to support programme priorities and impact • Track action points from weekly team meetings and coordinate information flow • Support the Executive Director with stakeholder outreach and strategic partner engagement • Prepare meeting briefings, follow-up materials and funder engagement materials • Structure knowledge sharing and coordinate collaboration and decision-making information • Drive cross-functional projects from planning through execution, ensuring deadlines and deliverables are met • Monitor progress, identify risks and bottlenecks, and develop mitigation actions • Improve operational processes, systems and ways of working • Manage the Executive Director’s diary, priorities, scheduling and meeting logistics across time zones • Manage the Executive Director’s inbox, priorities, follow-ups and drafted correspondence • Plan and coordinate complex international travel, itineraries, logistics and briefing materials • Serve as a professional point of contact for internal and external stakeholders • Anticipate issues and propose practical solutions • Manage Executive Director expenses, including receipts and expense-system uploads • Provide administrative and logistical support for projects, events and in-person team meetings • Maintain accurate records and reporting using Google Workspace, Notion, Asana, Airtable, Slack or similar tools • Undertake other reasonable duties requested by the Executive Director

🎯 Requirements

• Profound commitment to gender equality and genuine interest in the mission and values of the Meliore Foundation • 5+ years of relevant experience in an Executive Assistant role supporting a senior executive or principal • Exceptional planning, prioritisation and execution skills • Ability to anticipate next steps, manage competing priorities and ensure follow-through • Ability to work independently with a proactive, hands-on attitude and creative problem-solving skills • Ability to translate strategy and ideas into tangible objectives, tasks and action points • Ability to work under time pressure and take responsibility for slower-moving work pieces • Excellent attention to detail, diligence and reliability • Tact and discretion with high-level information • Fluency in written and spoken English • High-quality writing skills • Experience working in a nonprofit, philanthropy, climate, international development or public policy organisation • Experience supporting fundraising activities or engaging with funders and strategic partners • Experience coordinating cross-functional projects • Familiarity with CRM, project management or knowledge management systems • Only candidates with the right to work in their location will be considered • Location within approximately +/- 2 hours of CET
