âą Working inbound leads daily and qualifying families for services âą Conducting free consultations by phone (no Zoom or Teams required) âą Managing intake paperwork and documentation through completion âą Guiding families through the onboarding process and providing ongoing communication âą Keeping our CRM pipeline updated to ensure timely follow-up and movement through the intake process âą Managing the scheduling phone line and responding to scheduling requests from families and staff âą Building and maintaining client schedules based on family availability, staff availability, and clinical recommendations âą Coordinating therapist assignments and schedule adjustments âą Managing schedule changes due to staff call-outs, family cancellations, vacations, and other last-minute needs âą Communicating schedule updates to families, RBTs, BCBAs, and leadership âą Monitoring schedule consistency and helping maximize client access to services âą Problem-solving scheduling conflicts and finding creative solutions to keep services running smoothly âą Collaborating closely with Clinical and Operations teams to support staffing and scheduling needs âą Building and maintaining relationships with pediatricians, diagnosticians, schools, and community referral sources âą Supporting outreach efforts to increase referrals and community awareness of services
âą Experience in ABA, healthcare scheduling, staffing coordination, or client services âą Strong customer service and phone communication skills âą Experience managing multiple calendars or schedules simultaneously âą Ability to handle confidential information professionally âą Excellent attention to detail, follow-through, and time management skills âą Strong communication skills
âą Comfortable working U.S. hours âą Remote work from home
