âą Manage and coordinate scheduling for multiple ABA client caseloads. âą Communicate directly with parents, BCBAs, and therapists to arrange and confirm service schedules. âą Proactively follow up with all parties to ensure appointments are scheduled in a timely manner. âą Resolve scheduling conflicts and identify solutions to maintain continuity of care. âą Monitor schedules closely and make necessary adjustments to accommodate changes in availability. âą Maintain accurate scheduling records and documentation. âą Ensure services are staffed efficiently and that scheduling gaps are minimized. âą Collaborate with internal teams to support smooth day-to-day operations. âą Escalate scheduling concerns and staffing challenges when necessary.
âą Previous scheduling, coordination, or administrative experience, preferably in healthcare, ABA, or a related field. âą Exceptional organizational skills with strong attention to detail. âą Ability to manage multiple priorities and caseloads simultaneously in a fast-paced environment. âą Strong verbal and written communication skills. âą Confident and proactive approach to follow-up and problem-solving. âą Ability to communicate professionally with families, clinicians, and internal stakeholders. âą Comfortable making frequent outbound calls and coordinating schedules verbally. âą Proficient with scheduling software, CRM systems, and Microsoft Office/Google Workspace. âą Ability to work independently while maintaining accuracy and efficiency. âą Good typing speed and administrative accuracy required âą Ability to learn new scheduling platforms and systems quickly required âą Ability to work independently in a fast-paced remote environment âą Reliable internet connection and a suitable home office setup
