• Coordinate and administer ShiftCare’s global events program across Australia, North America and Canada • Own end-to-end event planning, timelines, milestones and checklists • Source, contract and liaise with venues, caterers, AV providers, freight companies and event partners • Build and manage registration pages, attendee lists, confirmations and badges • Coordinate brochures, banners, signage, pull-up banners and digital assets with the design team • Plan booth freight, collateral and giveaway shipments across regions, including customs documentation • Raise purchase orders, track event spend against budget, reconcile invoices and report variances • Manage speaker briefs, bios, headshots, presentations and exhibitor portal administration • Build and maintain pre-event, onsite and post-event checklists and detailed run sheets • Reconcile lead capture, analyze ROI, conduct post-event surveys and document debriefs • Reduce Sales and Marketing event administration workload • Build a repeatable event playbook with templates, checklists, run sheets and budgets • Deliver post-event ROI reporting and debriefs within one week of each event • Ensure freight, registrations and collateral meet deadlines
• 2+ years in events coordination, event management or marketing operations • Experience supporting events across multiple regions or time zones is ideally preferred • Proven experience managing the full event lifecycle, including planning, registrations, logistics, run sheets and post-event reporting • Highly organised and detail-obsessed, with experience using checklists, run sheets and project plans • Strong written and spoken English • Comfortable working remotely and asynchronously with a global team • Availability to overlap Australian business hours and days, Monday to Friday, AEST/AEDT • Proficiency with Google Workspace • Experience with project management tools such as Asana, Monday, ClickUp or similar • Experience with event and registration platforms • Comfortable using AI tools for drafting, scheduling, attendee communications and reporting • Ability to juggle multiple events at different stages simultaneously • Experience in B2B SaaS or healthcare technology events is a bonus • Experience with international shipping, customs documentation and freight forwarders is a bonus • Experience supporting trade show or exhibition programs is a bonus • Familiarity with HubSpot or a comparable CRM/marketing platform is a bonus
