📋 Description

• Provide a high level of customer service and wide-ranging support to the BU Head in the Internal Medicine business unit • Arrange domestic and international travel, including flights, hotels, ground transport, visas, and detailed trip itineraries • Schedule meetings in the U.S. and abroad while considering global attendee time zones • Build effective relationships with colleagues across the globe • Compose, proofread, and edit correspondence, papers, and publications using MS Word, MS PowerPoint, and other MS Office applications • Handle confidential and sensitive matters with discretion • Manage complex and proactive calendars, including meetings with direct reports and leadership meetings • Manage SharePoint calendars and ensure events are entered promptly • Organize off-site meetings and conference attendance for the BU Head and Internal Medicine Team • Adjust calendar and meeting arrangements to rapidly changing priorities and conditions • Provide administrative support for the Internal Medicine Business Unit, including compliance tracking

🎯 Requirements

• 2–4 years of office/business experience working as an executive assistant • 5+ years of office/business experience • Experience with Microsoft Office applications and producing materials for internal and external use • Knowledge of Microsoft Teams is a plus • Ability to anticipate changing needs and priorities • Ability to prioritize, organize, and remain flexible with close attention to detail • Strong interpersonal skills for maintaining effective relationships with BU Heads, colleagues, and customers • Ability to manage multiple tasks and projects simultaneously • Confidence and ability to address and escalate challenging situations effectively • Sound knowledge of MS Office products and ability to learn and adapt to new technology and systems • Excellent critical thinking and problem-solving abilities • Extensive familiarity with travel planning applications • Knowledge of Concur would be a plus
