• Respond to inquiries from prospective clients, parents, guardians, referral sources, and other stakeholders • Manage new client intakes from initial referral through admission and transition to clinical services • Collect, review, and maintain required client information, documentation, forms, and intake materials • Track pending intakes and follow up on outstanding paperwork, authorizations, assessments, and other requirements • Coordinate with clinical, scheduling, authorizations, and administrative teams • Identify potential barriers or delays and work with appropriate teams to resolve them • Maintain accurate client records, communication logs, and intake tracking information • Keep clients, families, referral sources, and internal teams informed throughout the intake process • Maintain confidentiality and protect client information • Support a clear, organized, and welcoming client experience • Participate in department meetings, trainings, and company initiatives • Perform other duties as assigned by management
• High school diploma or equivalent • 2–3 years of experience in intake, admissions, healthcare administration, behavioral health, ABA, scheduling, customer service, or a related field • Strong communication, organization, time-management, and attention-to-detail skills • Ability to manage multiple priorities, meet deadlines, work independently, and solve problems effectively • Professional and compassionate approach when working with clients, families, referral sources, and internal teams • Ability to handle sensitive and confidential information appropriately • Proficiency with Microsoft Office, Google Workspace, electronic medical records, CRM systems, scheduling platforms, or similar software • Must currently reside in the United States and be authorized to work in the U.S. without employer sponsorship • Preferred: Associate’s or bachelor’s degree in healthcare administration, business, behavioral health, human services, or a related field • Preferred: Experience in ABA, behavioral health, or healthcare • Preferred: Experience working with clients, families, referral sources, or healthcare providers • Preferred to live in MST, CST, or EST time zones
