📋 Description

• Support the Director with planning, execution, and success of domestic and international experiential programs • Manage tactical and operational details of high-touch programs • Coordinate accommodations, transportation, ticketing, hospitality venues, food and beverage, entertainment, gifting, staffing, guest communications, and other program details • Coordinate event lifecycle logistics including hotel room blocks, ground transportation, registration, uniforms, collateral, signage, itineraries, and onsite materials • Prepare meeting materials, presentations, status updates, guest communications, and internal and external communications • Collaborate with clients, internal teams, vendors, suppliers, and onsite field staff • Develop guest registration content, event communications, FAQs, confirmation messaging, and itineraries • Support program budgets, monitor expenses, process invoices, reconcile costs, and maintain financial records • Improve templates, tracking tools, operating procedures, and post-program reporting • Travel for site inspections, client meetings, and onsite program execution

🎯 Requirements

• Proven experience supporting the planning and execution of high-touch corporate hospitality programs across domestic and international markets • Experience coordinating accommodations, transportation, ticketing, hospitality venues, food and beverage, entertainment, gifting, staffing, guest communications, and other operational details • Experience coordinating event lifecycle details including hotel room blocks, ground transportation, registration, gifting, uniforms, marketing collateral, signage, guest itineraries, and onsite materials • Ability to maintain project plans, workback schedules, timelines, checklists, and tracking documents • Strong client service and stakeholder relationship skills • Strong written communication skills • Experience supporting budgets across programs and markets • Experience monitoring expenses, processing invoices, reconciling costs, maintaining accurate financial records, and identifying variances or risks • Experience in corporate event coordination, hospitality, experiential marketing, logistical planning, and/or high-stakes onsite execution • Proficiency in Microsoft Office and relevant project management, registration, and event technology platforms • Open and able to travel domestically and internationally • Ability to work extended periods from host cities or local offices, and flexible availability during nights, weekends, and holidays
