📋 Description

• Serve as the primary point of contact for Marcomms operations inquiries and requests • Manage day-to-day cross-departmental prioritization conflicts and propose trade-offs • Project manage interdepartmental communication and collaboration • Build and maintain workback timelines and scheduling systems for campaigns and initiatives • Identify dependencies, flag deadline risks, and align cross-functional stakeholders • Process and track vendor and contractor invoices against project budgets and Service Request Forms • Maintain centralized trackers for vendor and contractor agreements, deliverables, acceptance status, and invoicing eligibility • Lead day-to-day vendor coordination and negotiation within established guidelines • Support merchandise production timelines, quality checks, and delivery • Manage departmental project timelines and communicate changes to stakeholders • Standardize and improve project management processes and tools such as Airtable and Asana • Assess departmental project efficiency, diagnose bottlenecks, and track efficiency KPIs • Support in-person meetings and on-site logistics • Correspond with executives, partners, members, and clients as a Growth Marketing representative • Interface with artist management and PR representatives for special campaigns and provide onsite production support • Manage inbound and outbound meeting requests and invitations • Manage vendor, consultant, and contractor invoices, coding and cataloging expenses • Support expense documentation and payment schedule communication with Finance & Accounting • Oversee travel, parking, per diem requests, and credentialing during Grammy Week events • Coordinate with credentialing and ticketing teams • Support show ticket requests for relevant vendors and partners • Assist with Grammy House and Artist Showcases event project management, guest list curation, logistics, and check-in • Perform additional Grammy event preparation and key initiative responsibilities as assigned

🎯 Requirements

• Bachelor's degree in marketing, communications, business, or related field, or equivalent work experience • 4+ years of related work experience, including exposure to budget tracking, vendor coordination, or project management tool administration • Prior creative agency or marketing/entertainment experience within the music industry preferred • Experience building workback schedules and campaign timelines • Experience coordinating vendor/contractor agreements • Experience helping resolve cross-functional resourcing conflicts • Experience supporting or standardizing project management processes or tooling • Strong professional and personable communication skills • Experience representing a department or function to senior executives and external partners • Strong proficiency in MS Office and project management software such as Airtable, Asana, or similar platforms • Excellent attention to detail and proven analytical skills • Ability to work independently on day-to-day execution while checking in with leadership on higher-stakes decisions • Ability to occasionally stand, walk, and sit for long periods and work at a computer for long periods • Ability to lift and/or move up to 60 pounds
