📋 Description

• Support end-users with ongoing business processes by identifying, diagnosing, and resolving problems with Salesforce configuration, workflows, processes, and/or integrations. • Perform ongoing maintenance and configuration tasks in Salesforce, including coordinating and undertaking testing of regular system updates and vendor releases. • Maintain and improve the usability of Inatai’s portal where grantseekers and grantees interact with the foundation. • Manage and troubleshoot bugs and system malfunctions reported by users, including submitting helpdesk tickets to Salesforce or other parties, and track items through to resolution. • Liaise with software vendors to implement enhancements and bug fixes, as required. • Implement and maintain Salesforce platform integrations, including Conga, DocuSign, and Sage Intacct. • Develop and maintain complete system documentation detailing configuration decisions. • Setup, maintain, and regularly review users, security settings, profiles, permission sets, and other system security settings/requirements, including provisioning staff and applicant/grantee user accounts. • Perform discovery around new business needs, including documenting requirements, business process workflows, and customization specifications for development. • Coordinate and facilitate project meetings to gather information from stakeholders about emerging user needs. • Continually optimize the system’s usability and design to ensure grant and CRM information is accessible and transparent across Inatai. • Monitor and maintain data quality, and socialize data quality standards with users through drafted materials and direct training. • Support grants data analysis, including producing reports and developing dashboards for the presentation of grant information, e.g., operational performance indicators such as processing times and volume analyses. • Prepare grant-related schedules/reports for finance, audit, and tax purposes. • Rapidly respond to inquiries from Inatai staff for data on grants and sponsorships. • Design and conduct onboarding/on-going system training for all users, including Inatai staff, grantseekers, and grantees. • Produce training materials and write technical instructions, as required. • Provide management support and mentoring to staff. • Regularly participate in Grantmaking Operations team meetings to ensure system functionality is meeting user needs. • Actively participate in vendor user communities, e.g., Salesforce, PEAK Grantmaking, and TAG, and identify and investigate system practices or new tools that provide added benefits to staff and/or applicants/grantees, including implementing new technology systems as needed. • Maintain overall technical knowledge of Salesforce products and best practices by attending Dreamforce, TAG, educational workshops, and reviewing release notes. • Be a champion for the system while being a good thought partner and collaborator to fellow team members. Lean into our culture of providing excellent customer service. • Improve accessibility practices for external and internal users, particularly when it comes to providing Spanish translations of external forms and applications. • Contribute one’s own ideas, perspectives, and lived experiences to the emerging culture of the foundation. • Assume other responsibilities and explore new opportunities that arise with the evolving needs and aspirations of the foundation.

🎯 Requirements

• Minimum required: At least three years of experience supporting Salesforce, with at least five years in a nonprofit and/or grantmaking organization. • Experience working with users across multiple departments and configuring Salesforce to meet cross-departmental needs and varied business use cases. • Experience managing Grants Management System (GMS) and Constituent Relationship Management (CRM) databases within Salesforce. • Experience configuring and managing a Salesforce Experience Cloud portal and external user accounts (e.g., grantees). • Strong understanding of the Salesforce platform with the ability to build custom objects, fields, custom views, and other content of intermediate complexity. • Experience building and troubleshooting Salesforce automation, e.g., Flows. • Advanced skills with Microsoft Office Suite. • Significant experience cleaning, analyzing, visualizing, and presenting data and mapping process workflows. Strong sense of how to depict data to show trends and tell stories. • Strong knowledge of project management approaches and adept at using software and tools to plan, prioritize, and track project phases and assignments. Monday.com experience is a plus. • Experience training staff to use systems, including strong technical writing skills, and the ability to develop useful learning tools and training materials. • A Salesforce certification as an Administrator, Advanced Administrator, or Business Analyst is strongly preferred. • Ability to work effectively in a remote working environment, carrying out projects and tasks collaboratively and asynchronously. • Passion for developing accessible systems for both teammates and grantees, including but not limited to people with disabilities and those whose first language is not English. • Excitement for grantmaking operations with a strong focus on customer service and trust-based philanthropy practices that are values aligned. • A strong desire to learn about the needs of communities across the state who are most impacted by structural inequities. • Humility and curiosity, and an understanding of how these qualities are connected to success in this role and across the organization. • A deep commitment to equity and racial justice and strong alignment with our organizational values and 50-Year Vision. • Ability to authentically connect the foundation’s mission and aspirations with one’s own personal experiences. • Demonstrated ability to cultivate relationships and work effectively and respectfully with politically, ideologically, culturally, and geographically diverse people and communities. • Demonstrated capacity for self-reflection. • Strong verbal, non-verbal, and written communication skills combined with the ability to listen deeply and authentically. • Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint, and SharePoint) and Adobe (Acrobat DC) and ability to adapt to new technologies. • Willingness to take part in occasional meetings and events outside of core business hours. • Enthusiasm for traveling throughout Washington and engaging with communities that may be different from your own (travel is estimated at 20-25% for this position).
