📋 Description

• Lead the day-to-day operations of the Medical Admissions Consulting (MAC) program • Manage admissions experts and editors, including onboarding, supervision, coaching, performance management, scheduling, workload balancing, and personnel issue escalation • Support hiring by defining staffing needs, screening and interviewing candidates, and onboarding new team members • Set and monitor performance expectations for advising delivery, response times, deliverable timelines, and scheduling standards • Monitor service quality through student feedback, meeting observations, and response audits, and provide coaching • Resolve customer-service escalations and communicate with students, parents, and family members • Partner with Enrollment and Sales to resolve MAC inquiries and remove conversion obstacles • Oversee admissions-cycle advising workflows, student onboarding, goal setting, progress tracking, and deliverable completion • Manage deferrals, cycle moves, re-applicant strategy, and gap-year guidance with assigned experts • Build and maintain admissions benchmarks using AMCAS, AACOMAS, and TMDSAS data • Maintain client status, service tier, deliverable stage, and engagement records to support retention and capacity planning • Build dashboards and reporting for program health, capacity, bookings, churn, and customer-experience metrics • Provide data-driven insights for capacity planning, sales projections, and operational decisions • Support admissions dashboards and workflow tooling by testing changes, reporting defects, and supporting adoption • Manage expert/editor capacity, assignments, student lists, caseload distribution, and annual booking projections • Support cross-department campaigns and produce MAC marketing collateral • Collaborate with leadership to refine MAC offerings, resources, and content • Maintain SOPs, operational systems, workflows, and templates • Quality-check student-facing deliverables before release • Oversee enrollments, escalations, cancellations, refunds, and dispute-case documentation • Compile executive summaries of services rendered by cross-referencing HubSpot logs, advisor email, and advising records

🎯 Requirements

• Experience leading or administering a medical school admissions program is strongly preferred • Deep familiarity with the medical school application process, application systems, and student journey from application through admission • Proven people-management experience, ideally in a service, education, or customer-facing environment • Comfort handling HR and customer-service situations directly • Working knowledge of AMCAS, AACOMAS, TMDSAS, or ability to ramp quickly • Proficiency with data tracking and visualization tools, including spreadsheets and dashboards • Comfort collecting and organizing data from external sources • Familiarity with AI tools such as Claude and ChatGPT, and willingness to use them to streamline workflows and analyze data • Strong organizational skills and experience owning SOPs, documentation, and quality assurance • Excellent written and verbal communication with students, parents, and cross-functional partners • Experience with capacity planning, scheduling, and coordinating a team of contributors • Employment may be contingent upon successful background, reference, employment history, education, and credential verification, as applicable and permitted by law
