📋 Description

• Manage the full onboarding lifecycle from offer acceptance through Day 1 and transition into the organization • Coordinate background checks, drug screens, employee health screenings, I-9 completion, and onboarding documentation • Serve as the primary contact for candidates, hiring managers, facilities, and internal stakeholders • Schedule onboarding activities, orientation sessions, training, and stakeholder meetings • Monitor onboarding progress and compliance deadlines • Respond to escalated onboarding inquiries and ServiceNow tickets • Facilitate onboarding sessions covering company policies, culture, and expectations • Partner with hiring managers and operational leaders to provide new employees with tools, access, and resources • Follow up with new hires and leaders to support smooth transitions • Maintain accurate documentation in the ATS and other HR systems • Support process improvement initiatives • Use Microsoft Excel and Microsoft Office applications to manage data, track progress, and maintain reporting • Handle sensitive employee information confidentially and maintain compliance with HIPAA, I-9, state employment regulations, and organizational policies • Collaborate within a remote, high-volume team while managing multiple onboarding assignments

🎯 Requirements

• High school diploma or GED required • Bachelor’s degree preferred • Minimum of 2-4 years of professional experience in onboarding, human resources, talent acquisition, HR operations, or a related field • Experience coordinating high-volume onboarding activities and managing multiple priorities simultaneously • Working knowledge of HR compliance, including I-9 requirements and state employment regulations • Strong customer service and communication skills • Excellent organizational, time management, and multitasking skills • Strong computer proficiency, including Microsoft Excel and Microsoft Office applications • Ability to manage confidential information with professionalism and discretion • Comfortable working in a fast-paced environment supporting multiple facilities and large onboarding volumes • Previous onboarding specialist or HR coordinator experience preferred • General Human Resources experience beyond onboarding, particularly involving compliance and employment documentation, preferred • Experience supporting remote teams or multi-site organizations preferred • Experience working in healthcare or another highly regulated industry preferred • Familiarity with Applicant Tracking Systems (ATS), HRIS platforms, or ServiceNow helpful but not required • Experience working in a high-volume, customer-focused environment preferred • Must be authorized to work in the United States without employer sponsorship
