• Provide administrative and operational support to the Vice President and Deputy Vice President of Development • Conduct and capture notes for bi-weekly portfolio strategy meetings and quarterly portfolio reviews • Track donor activity and communications in the fundraising CRM • Prepare donor meeting materials, prospect summaries, background research requests, and fundraising strategy documents • Support event management and logistics, including the annual signature dinner and smaller donor events • Coordinate and administer the annual Development Operating Plan • Schedule, document, and track quarterly team check-ins and departmental 90-day priorities • Coordinate Development Management Team meetings and track priorities, deadlines, and action items • Maintain departmental project and priority views in Asana • Manage AI-assisted meeting documentation, summaries, action-item capture, and carry-over tracking • Support adoption of Asana, SharePoint, AI-enabled tools, and collaboration platforms • Coordinate Executive Office logistics, scheduling, travel planning, and follow-up • Coordinate preparation for Philanthropy Committee and Board meetings • Assemble meeting materials, briefing documents, presentations, agendas, and supporting resources • Track committee recommendations, action items, and follow-up responsibilities • Coordinate onboarding and offboarding for Development staff • Maintain SharePoint structure, templates, guides, and operational documentation • Coordinate department meetings, retreats, and internal activities • Support department administration, including supplies and staff milestone cards/gifts • Support special projects and department-wide initiatives
• Two to four years of experience in project coordination, operations, development administration, executive support, or a related field • Ability to coordinate multiple complex projects and priorities simultaneously • Experience supporting senior leaders and managing highly confidential information • Strong organizational, planning, and follow-through skills • Excellent written and verbal communication skills • Experience with project management and collaboration platforms, including Asana or similar systems • Strong proficiency with Microsoft Office and Microsoft 365 applications • Experience with fundraising databases and nonprofit operations preferred • Ability to work effectively with a diverse group of colleagues, stakeholders, and partners • Commitment to NPCA’s mission, core values, and JEDI Statement of Intentions • Ability to communicate effectively with all levels of NPCA staff • Ability to work Monday through Thursday, with core office hours 9:00 AM to 6:00 PM • Ability to work rare nights and weekends when required by event scheduling • Must be eligible to work in the United States of America; visa sponsorship requirements addressed in application
