📋 Description

• Answer and manage incoming customer inquiries • Gather required information for residential and commercial jobs • Enter customer, project, measurement, scheduling, and job information into company software and spreadsheets • Ensure job files are complete before advancing them • Follow up with customers for missing information • Schedule estimates and on-site measuring appointments • Coordinate appointments between customers and estimators/technicians • Confirm appointments and communicate schedule changes • Document and enter measurements and job specifications • Build and manage technicians' daily schedules • Coordinate installations, measurements, service calls, and field appointments • Handle cancellations, rescheduling, technician changes, and scheduling conflicts • Communicate schedule updates to customers and technicians • Help maximize technician productivity while maintaining realistic schedules • Manage product and material orders • Coordinate with vendors regarding pricing, specifications, availability, lead times, order status, and delivery timelines • Compare purchase information against job specifications • Follow up on delayed or incomplete orders • Maintain vendor communication and purchase records • Cross-reference measurements across estimates, field measurements, orders, invoices, and job records • Verify dimensions, quantities, product types, finishes, hardware, and other specifications • Escalate questionable or inconsistent measurements • Prepare and send customer invoices • Follow up on outstanding balances • Process customer payments and maintain payment records • Verify invoices against completed work and job information • Assist with payroll preparation and employee time information • Verify technician hours before payroll submission • Maintain administrative records • Learn and utilize Smart Glazier, Microsoft 365, Outlook, and Excel • Help implement software, modules, automations, and operational systems • Test workflows and identify inefficient processes • Help create organized and streamlined procedures • Assist management with operational and administrative responsibilities

🎯 Requirements

• Excellent written and verbal American English communication skills • Exceptional attention to detail • Strong organizational and time-management skills • Ability to manage multiple active jobs simultaneously • Ability to work independently without constant supervision • Strong follow-through and accountability • Excellent computer skills and strong Microsoft Excel skills • Experience using Microsoft 365 and Outlook • Ability to learn unfamiliar software quickly • Comfort working with tape-measure measurements and fractions down to 1/16 of an inch • Ability and willingness to cross-reference and triple-check important information • Professional telephone and customer-service skills • Ability to remain organized while handling last-minute changes and interruptions • Comfortable communicating regularly through video calls using Microsoft Teams and Zoom • Prior experience in glazing, construction, home improvement, contracting, installation, dispatching, estimating, or a similar field is strongly preferred but not required • Modern, updated computer capable of efficiently running all required company software • Reliable high-speed internet connection • Ability to participate professionally in Microsoft Teams and Zoom video meetings • Ability to work uninterrupted during scheduled business hours • Prior Smart Glazier experience is a plus but is not required • Ability to quickly learn and confidently use new software is required
