• Support multiple Operations Managers on up to 25 program itineraries across diverse product lines and program types • Coordinate and confirm program logistics, including hotel accommodations, field trips, transfers, meals, special needs, and additional program staff • Manage multiple timelines and deadlines while ensuring accuracy, organization, and timely delivery • Support negotiation and vendor management of contracts and agreements within program and vendor budgets • Respond to complex customer service requests and address program questions and special requests • Analyze enrollments and space allotments daily to optimize capacity within contractual deadlines • Assess and resolve program issues before and during program execution, escalating complex situations when necessary • Assist with pre-program briefings for on-site program staff • Review programs and reconcile financial details and vendor, staff, and other expense invoices post-program • Collaborate with Program Administration and Program Services teams to create and distribute accurate materials and reports on time • Develop comprehensive knowledge of program content and destinations for assigned regions • Attend and work on certain programs related to the position
• Bachelor's Degree preferred or equivalent experience • 2-3 years relevant experience • Experience in a fast-paced business environment • Ability to manage multiple or competing priorities and meet tight deadlines • Strong relationship management skills • Analytical skills and high attention to detail • Excellent verbal and written communication, interpersonal, and problem-solving skills • Ability to work collaboratively in a multifunctional team environment • Strong system skills; comfortable in a complex environment • Ability to manage and maintain work in multiple systems • Moderate travel and some evening and weekend work required • Required to attend and work on certain programs related to the position • Cover letter required with resume
