• Manage core legal workflows, including electronic court filings, service across state and federal portals, and legal research • Conduct legal research and case retrieval using Lexis, Westlaw, and PACER • Prepare discovery and litigation shells • Format pleadings using firm styles • Schedule court appearances • Manage documents using Adobe Acrobat and DocuSign • Process judicial forms • Oversee PCard expense reconciliations • Ensure job tickets are properly completed before work begins • Assess job requests and ensure completion throughout the task lifecycle • Provide administrative support, including answering phone lines, customer service, document editing/transcription, data entry, reservations, and scheduling • Maintain logs and tracking software for administrative support work • Communicate job or deadline issues to team members, leads, supervisors, or clients • Protect confidential company, employee, and client information • Meet contracted deadlines for accepting, completing, and delivering work • Troubleshoot basic equipment problems • Help develop training plans and process maps • Deliver training to a team of administrative employees • Serve as a subject matter expert and resource for junior employees • Interact with clients in person, by phone, video, or electronically • Prioritize workflow and perform quality assurance on own and others' work • Follow Williams Lea and client-site policies • Use equipment and supplies cost-efficiently • Perform other duties as assigned
• High school diploma or equivalent education • Minimum 2 years administrative support experience in a professional organization, preferably in the legal industry; or at least 1 year performing administrative duties for a Williams Lea client operation • Formal education and/or training may be considered in lieu of experience • Recent comprehensive e-filing and e-service experience • Direct experience managing state, federal, and arbitration filings across platforms including One Legal, First Legal, Pro Legal, Green Filing, Proof, File & ServeXpress, CaseAnywhere, District Court, Court of Appeals, Supreme Court, TrueFiling, FINRA, UCC, AAA, and JAMS • Experience coordinating e-service and print dispatch • Advanced proficiency in Microsoft Word, Excel, and PowerPoint • Strong keyboarding and typing skills • Ability to troubleshoot applicable business/client software • Familiarity with administrative support software programs • Skilled in scheduling telephonic and virtual court appearances through Court Call, Court Connect, Journal Technologies Court Portal, or similar • Strong organizational skills and ability to meet deadlines • Ability to handle sensitive and highly confidential documents professionally and discreetly • Good judgment and problem-solving skills, including knowing when to escalate issues • Ability to work independently and collaboratively • Ability to work in a fast-paced environment • Professional verbal and written communication skills • Proficiency with required equipment, technology, software, and hardware • Self-motivated with a positive attitude • Proven customer service skills • Must be able to support the West Coast - California
