📋 Description

• Develop and monitor project timelines and project plans • Draft, edit, organize, and disseminate reporting documents and communications • Manage meetings, schedules, emails, phone inquiries, and correspondence • Craft communications to assigned leads and staff • Lead staff training, systems optimization, and development and deployment of operational tools • Monitor funding opportunities, write and develop grants, and manage grant-writing processes • Develop standard operating procedures, document management systems, project management standards, templates, and workflows • Research best practices and support continuous process improvement • Build and maintain relationships with internal teams, external partners, funders, stakeholders, and community partners • Lead onboarding, optimization, and integration of grant-seeking, project-management, accounting, and grant-tracking systems • Create and distribute bi-weekly grant opportunities and maintain funder tracking • Develop business development materials, partner profiles, proposals, scopes, budgets, and funding recommendations • Manage special projects, change activities, high-impact initiatives, and connections across strategy and operations • Support organizational reporting, communications, procurement, surveys, marketing materials, and operational improvements • Conduct quality checks, internal audits, and monitoring and reporting of programmatic risks • Report to the Senior Director, Strategic Initiatives and supervise no employees

🎯 Requirements

• Bachelor’s degree or equivalent combination of education and experience required • 5+ years of relevant experience required, including complex administrative support for leadership-level staff • Project Management Professional (PMP) certification preferred • Advanced knowledge of project management software and tools • Advanced knowledge of Microsoft Office Suite, including Word, Excel, PowerPoint, and Microsoft Outlook • Strong project management skills, including design and utilization of tools • Experience developing and creating surveys/polls and using polling software • Proficiency setting up and running video conference software such as Teams, GoToMeeting, and Zoom • Ability to collaborate effectively and build positive relationships with internal and external colleagues and partners • Emotional intelligence and experience working with individuals and groups from diverse backgrounds • Confidentiality and discretion when communicating with or regarding external partners • Ability to anticipate needs, solve problems, prioritize, multitask, and be resourceful • Excellent verbal and written communication, professional correspondence, proofreading, and editing skills • Ability to present information and respond to high-level inquiries from senior leadership, staff, partners, stakeholders, and community members • Professional demeanor and commitment to professional development
