📋 Description

• Execute assigned payroll tax tasks, including accurate payroll runs, output report review, tax filings and payments, and compliance support across active jurisdictions • Research and resolve standard State and Federal payroll tax notices, escalating complex cases when needed • Draft written responses to agency notices with supporting documentation and submit them by required deadlines • Prepare standard amended payroll tax returns, including Form 941-X and state equivalents, with guidance on complex adjustments • Support payroll correction workflows by gathering error details, calculating quarterly tax impacts, and maintaining audit documentation through resolution • Manage personal work queue according to SLA deadlines and document each case thoroughly • Identify recurring issues and data patterns and share findings with senior staff • Flag outdated SOPs or Knowledge Base articles and recommend updates • Participate in cross-functional collaboration with internal teams

🎯 Requirements

• High School Diploma or equivalent • Minimum of 6 months of customer service experience • Must be 18 years of age or older • Ability to type at least 25 words per minute • Comfortable with desktop computer systems and general knowledge of Windows-based systems • 2+ years of back-office payroll experience specifically at a payroll services company • 2+ years of high-volume multi-state US payroll tax processing • 2+ years dedicated to tax notice resolution, amended return preparation, and payroll error corrections • Track record of resolving complex IRS and state agency notices • Direct experience preparing or approving amended Federal (941-X, W-2c) and State returns, including complex local jurisdictions such as PA and OH • Comfortable leveraging AI tools daily • Experience handling peer/customer escalations autonomously, diagnosing root causes, and applying independent judgment • Proven experience as a Change Champion, peer mentor, and high-performer on productivity/quality metrics • Advanced skills extracting complex technical information and distilling it into simple, clear actions • Active Fundamental Payroll Certification (FPC) • Validation-first mindset with curiosity to test and adopt new methodologies • Cross-functional collaboration skills • Experience editing or suggesting SOP and Knowledge Base content updates • Ability to flex into different jurisdictions or sub-teams smoothly • Strong customer service, communication, listening, analytical, organizational, problem-solving, emotional intelligence, open-mindedness, critical thinking, and solution-oriented skills • Ability to work within a structured schedule with a variety of shifts • Dedicated workspace near router for hardwired Ethernet connection • Minimum internet speed of 15 Mbps download and 10 Mbps upload with ISP under 50ms • Internet connection cannot be satellite, mobile data/hotspot, P2P, or VPN • Proof of internet speed required
