📋 Description

• Own end-to-end logistics and project management for donor cultivation and stewardship events • Oversee brand presence and messaging integration across event touchpoints • Manage vendors, venues, catering, AV, contracting, invoicing, and post-event close • Develop run-of-show documents, production schedules, event timelines, and budget trackers • Coordinate RSVPs, guest communications, attendee management, signage, printed collateral, and name tags • Serve as the primary day-of contact for vendors, venues, and on-site logistics • Partner with the Director of Supporter Experience to align strategy and logistics • Support executives, board members, and VIP stakeholders with briefings, materials, and logistics • Develop decentralized event models and supporter materials for local gatherings • Project-manage logistics for internal revenue channel groups • Lead activations for Pride Month, Mental Health Awareness Month, National Suicide Prevention Month, and Trevor’s Birthday • Support strategic engagements, conferences, panels, tabling opportunities, and group activities • Coordinate advancement engagement for board and executive participation in events and speaking roles • Drive non-event supporter experience and virtual engagement initiatives, including webinars and digital materials • Implement post-event stewardship plans and donor journeys • Coordinate follow-up, thank-you workflows, action items, and strategic outcome documentation • Manage event data in Salesforce, including RSVPs, outcomes, engagement history, and donor touchpoints • Use Asana and Google Workspace for timelines, assignments, and cross-team visibility • Communicate updates, flag risks, escalate appropriately, and manage up • Handle confidential donor information and wealth screening data • Foster belonging, equity, and inclusion for staff, volunteers, and supporters

🎯 Requirements

• Demonstrated experience managing events from concept through execution, including logistics, vendor coordination, and day-of operations; experience in a nonprofit or mission-driven organization preferred, and transferable experience from adjacent fields will be considered • Strong project management skills, including the ability to manage multiple events simultaneously, maintain detailed timelines, and meet deadlines in a fast-paced environment • Experience with CRM or donor database platforms (Salesforce preferred; comparable platforms or transferable experience considered) • Experience with project management tools such as Asana, or similar platforms • Proficiency in Google Workspace, including experience with document management and mail merge functions • Familiarity with peer-to-peer fundraising platforms such as GoFundMe Pro, or similar tools • Excellent written and verbal communication skills, with the ability to work effectively with internal teams, vendors, and external stakeholders • Strong attention to detail and a solutions-oriented approach to problem-solving • Ability to work occasional evenings or weekends as required by event schedules • Proficiency in spoken and written English • Authorization to work for any employer in the United States is required • The Trevor Project will not sponsor a work visa for this role
