• Perform general administrative tasks, including handling mail, typing, and maintaining filing systems • Create and maintain accurate, up-to-date patient records in the CRM • Perform administrative tasks that support patients’ progression through the program • Liaise with team members and healthcare professionals regarding prescription renewals • Handle incoming and outgoing faxes, calls, and communications • Label and attach documents in the CRM and program drives • Review and report adverse events • Process copayment requests for patients, pharmacies, and physicians, where applicable • Audit and maintain business-location reports, correct discrepancies, and notify personnel • Participate in scheduled and unscheduled departmental projects and training sessions • Welcome patients at appointments and assist with the iMD education program on clinic iPads • Confirm patients’ next appointment dates • Order and receive office supplies and equipment for assigned clinics • Coordinate equipment delivery and installation for new clinics • Follow up with programs and pharmacies regarding missing medications or documents • Resolve IT issues in assigned clinics in collaboration with the IT team • Prepare charts and medications for next-day appointments • Transport medications, blood samples, and supplies to other clinics as needed • Participate in medication inventories, audits, temperature-variation reports, and courier-return procedures • Support quality activities to maintain Innomar clinic ISO certification • Perform other assigned duties
• High school diploma; post-secondary education preferred • Technical or vocational training, or an equivalent combination of education and experience • 3–5 years of experience in a similar administrative role • Experience with Salesforce or another CRM system is an asset • Post-secondary education in medical office administration or an equivalent qualification in a relevant discipline • Minimum of two years of experience in the healthcare field • Ability to communicate effectively, both verbally and in writing, in English and French is an asset • In-depth knowledge of Microsoft Office Suite is essential • Strong critical-thinking and analytical skills • Strong organizational skills and attention to detail • Excellent problem-solving skills • Ability to implement processes that support satisfactory audit practices • Ability to work independently and in a team environment • Knowledge of the pharmaceutical distribution industry is an asset • Strong business and financial acumen • Strong analytical and mathematical skills • Excellent customer service skills • Proficiency in Microsoft Word, Excel, PowerPoint, and other Office programs • May be required to remain on standby or on call as part of this role
