📋 Description

• Track, manage, and follow up on outstanding invoices • Pursue overdue AR and ensure timely collection • Maintain accurate records of payments, outstanding balances, and customer communication • Coordinate with the local bookkeeper for alignment on AP/AR workflows • Build and maintain project files and job folders • Create, manage, and organize digital documentation via Google Drive • Ensure compliance documentation for subcontractors is updated • Vet subcontractors and maintain compliance records • Oversee administrative workflow as an extension of the office manager role • Help implement and streamline internal systems as needed • Assist in communication management (text message handling, phone answering once a system is in place)

🎯 Requirements

• Strong AR experience (collection, tracking, follow-up) • Experience in construction admin, project coordination, or similar industry background • Familiarity with construction processes such as permitting, subcontractor management, and compliance • Proficiency with QuickBooks (required) • Strong experience with Google Workspace (Drive, Docs, Sheets) • Highly organized, detail-oriented, and able to manage multiple tasks • Ability to work independently and maintain consistent productivity
