⢠Track, manage, and follow up on outstanding invoices ⢠Pursue overdue AR and ensure timely collection ⢠Maintain accurate records of payments, outstanding balances, and customer communication ⢠Coordinate with the local bookkeeper for alignment on AP/AR workflows ⢠Build and maintain project files and job folders ⢠Create, manage, and organize digital documentation via Google Drive ⢠Ensure compliance documentation for subcontractors is updated ⢠Vet subcontractors and maintain compliance records ⢠Oversee administrative workflow as an extension of the office manager role ⢠Help implement and streamline internal systems as needed ⢠Assist in communication management (text message handling, phone answering once a system is in place)
⢠Strong AR experience (collection, tracking, follow-up) ⢠Experience in construction admin, project coordination, or similar industry background ⢠Familiarity with construction processes such as permitting, subcontractor management, and compliance ⢠Proficiency with QuickBooks (required) ⢠Strong experience with Google Workspace (Drive, Docs, Sheets) ⢠Highly organized, detail-oriented, and able to manage multiple tasks ⢠Ability to work independently and maintain consistent productivity
