📋 Description

• Own project charters, scoping documents, risk registers, and project roadmaps • Turn meetings and discovery sessions into action logs, requirement summaries, and status reports • Own the action item tracker and follow items through to completion • Follow up with project owners, escalate risks early, and keep milestones, KPIs, and budgets on track • Schedule reviews and retrospectives and prepare agendas • Document and resolve decisions and dependencies • Serve as the primary connection point for handoffs across cross-functional teams • Configure project tools and build automations in Make or Zapier • Set up HubSpot workflows and perform hands-on technical implementation • Coordinate the HubSpot CRM migration • Coordinate the 2027 campus launches across Victoria, Queensland, and New South Wales • Build dashboards and leadership updates showing project health • Create user guides, walkthroughs, and FAQs to drive tool adoption • Make the case for better tools when manual processes can be improved

🎯 Requirements

• 1 to 3 years coordinating projects or supporting a PMO, keeping several concurrent initiatives on track at once • Hands-on HubSpot experience you can configure, not just describe; required • Fluency in at least one project management tool: Jira, Asana, ClickUp, or Monday.com • Strong, structured spreadsheet work for tracking, reporting, and visibility • Practical knowledge of delivery frameworks such as Agile, Scrum, or RACI • Clear written documentation, including action logs, status updates, and user-facing material • Ability to follow up, escalate blockers early, and manage stakeholders proactively • Comfort working across Indian and Australian business hours • Experience supporting a CRM migration or system implementation end to end preferred • Hands-on experience with Make or Zapier preferred • Exposure to prioritisation frameworks such as OKRs or ICE preferred • Background in edtech, startups, or a fast-scaling team preferred • Comfort building dashboards or working in advanced spreadsheets preferred
