📋 Description

• Manage complex executive calendars across multiple time zones. • Coordinate, schedule, and reschedule meetings while balancing shifting priorities. • Proactively identify scheduling conflicts and recommend solutions. • Develop an understanding of executive priorities to ensure calendars reflect business-critical activities. • Coordinate internal and external meetings, including preparing agendas, meeting logistics, and conference links. • Prepare and submit expense reports on behalf of executives. • Assist with travel coordination, itineraries, and related logistics when required. • Monitor executive inboxes or action items as requested and help ensure timely follow-up. • Maintain organized electronic files and documentation. • Proofread and review client-facing reports, presentations, and other documents for grammar, formatting, consistency, and professionalism before distribution. • Ensure documents align with company standards and branding. • Flag inconsistencies, missing information, or items requiring executive attention. • Serve as a trusted point of coordination between executives and internal stakeholders. • Follow up on action items and ensure commitments and deadlines are met. • Assist with preparing meeting materials and executive presentations. • Support special projects and administrative initiatives as assigned.

🎯 Requirements

• Previous experience supporting senior executives, preferably at the VP, or Executive level • Excellent organizational and time management skills with the ability to manage multiple competing priorities • Strong attention to detail and exceptional proofreading abilities • Excellent written and verbal communication skills in English • High level of professionalism, discretion, and confidentiality • Strong judgment and the ability to anticipate executive needs • Proficiency with Microsoft Office, including Outlook, Word, PowerPoint, and Excel • Comfortable working independently with minimal supervision.
