📋 Description

• Own the operational backend for client onboarding and offboarding, including kick-off coordination, documentation, credential access, access revocation, and client database integrity • Support account leads by keeping delivery infrastructure current as scopes, teams, and client needs change • Embed with enterprise accounts and teams during their first 30–60 days • Tailor client systems by building views, dashboards, and structures in Notion • Partner with Service Directors on staffing changes, capacity tracking, and the staffing ledger • Assess team adoption of operational systems and intervene before workarounds become established • Act as the operational partner for service teams and understand their workflows • Scope, assist with building, and own new workflows • Maintain compliance with project management systems and manage escalation paths • Onboard new hires onto project management systems and team operating rhythms • Provide Notion troubleshooting, database hygiene, and structural support • Build and maintain automations across Notion, Slack, Google Workspace, Fireflies, and the automation platform • Write SOPs and training materials • Contribute to company-wide operational projects with the Director of Operations and peers

🎯 Requirements

• Experience in a client-facing operations, account management, or project management role, ideally at an agency or with DTC / e-commerce brands • Applied experience using AI tools to improve operational speed and output quality • Professional-level competency in Notion, including databases, relations, rollups, views, permissions, and workspace structure • Hands-on experience building automations end to end using Zapier, Make, n8n, or similar, including API-based integrations across SaaS tools • Strong written and verbal English communication skills • Ability to create SOPs, training materials, and async updates • Confidence presenting to executive stakeholders • Ownership, resourcefulness, and autonomy • Growth mentality and openness to feedback • Exceptional organization and attention to detail • Ability to learn unfamiliar platforms quickly • Comfortable holding peers to operational standards • Familiarity with agency service models across paid media, creative, retention, or marketplaces is a plus • Experience supporting enterprise accounts through onboarding is a plus • Background in process documentation, SOP libraries, or knowledge management is a plus • Ability to work 9 AM–5 PM EST
