• Screen, organize, and prioritize inbound messages across email & communication platforms • Manage calendars, schedule meetings, and coordinate appointments • Handle travel arrangements end-to-end: flights, accommodations, itineraries, logistics • Research travel routes, industry events, conferences, and speaking opportunities • Maintain and update task/project management tools (Linear, Notion, Mixpanel) • Proactively identify and complete tasks without needing to be prompted • Track deadlines, follow-ups, and ensure deliverables are completed on time • Provide general administrative and operational support as needed
• 3–5+ years experience as a Virtual Assistant or Executive Assistant • Strong anticipatory thinking — able to see needs ahead of time • Excellent organization + time management skills • Comfortable supporting founders and working across fast-moving priorities • Clear, strong, and professional communication skills • Ownership mindset — self-driven with strong follow-through • Proficiency with digital productivity tools (Notion, Linear, etc.) • Must be able to work full-time during either of the following: • - Role 1: 9:00–17:00 CET • - Role 2: 9:00–17:00 CET or 9:00–17:00 EST
