📋 Description

• Monitor and manage Outlook emails, responding professionally and promptly on behalf of executives. • Manage executives’ calendars, schedule meetings, and set reminders. • Coordinate and confirm client appointments in Outlook and Calendly. • Track and update client cases within Canopy and internal systems. • Organize and file documents in a methodical, easy-to-retrieve system. • Assist with drafting, reviewing, and finalizing correspondence. • Communicate with government offices and agencies on behalf of executive regarding client matters. • Schedule business events, reminders, and team meetings. • Manage simple projects to ensure deadlines and deliverables are met. • Support with reception tasks: answer inquiries, assist with client intake, and route requests. • Customer Service - answering phones via RingCentral • Prepare professional presentations and client-facing materials. • Creating invoices, sending invoices to clients • Assisting with contacting clients to collect payments • Schedule: Monday through Friday. 9AM to 6PM (EST)

🎯 Requirements

• Detail-oriented with excellent organizational skills. • Proactive, common sense, and a go-getter attitude – able to anticipate needs and take initiative. • Bubbly, confident, and caring personality with the ability to build rapport easily with clients and colleagues. • Comfortable and professional speaking with clients over the phone. • Strong written and verbal communication skills with a professional, client-facing tone. • Ability to multitask, prioritize, and meet deadlines in a fast-paced environment. • Tech-savvy with experience using Microsoft Outlook, Teams, RingCentral, (Canopy experience a plus, but not necessary) • QuickBooks is also a plus, advanced knowledge in Microsoft Excel is necessary. • Prior administrative experience in accounting, law, or financial services is preferred but not required.
