📋 Description

• Process approved orders in the proprietary system and keep open orders current. • Submit orders to manufacturers and vendors, confirming specifications, quantities, pricing, and ship dates. • Track daily status across open jobs and flag delays, errors, or risks. • Build and send daily production status reports. • Maintain complete order documentation, including POs, vendor proformas, invoices, shipping updates, tracking, and shipping methods. • Check vendor invoices against POs and proformas and coordinate with Finance on accurate, timely payments. • Serve as day-to-day vendor contact for questions, changes, and follow-ups. • Use AI tools to summarize status, identify document mismatches, and draft vendor follow-ups. • Identify recurring process problems and suggest preventive improvements.

🎯 Requirements

• 2+ years of hands-on experience in order management, production coordination, purchasing, or a similar role. • Exceptional organization and ability to manage dozens of open orders across multiple vendors. • Strong attention to detail, including checking PO quantities and vendor proforma pricing. • Ownership of documentation, persistent follow-up, and timely escalation. • Strong sense of urgency and follow-through. • Good judgment managing competing deadlines and prioritizing effectively. • Ability to work proactively without constant supervision and close the loop. • Comfort using AI tools in daily work. • Strong written communication with vendors and internal teams. • Ability to learn new software quickly; training provided on the proprietary system.
