📋 Description

• Receive confirmed bookings from the Ticketing team and create or update complete trip records • Prepare invoices in FreshBooks and hold them for Team Lead review • Send approved itineraries and invoices to clients through Periskope • Coordinate airport chauffeur pickups, seat selections, special meals, and other requested services • Verify that payments are received and correctly recorded across internal systems • Cross-check credit card, bank wire, PayPal, and cryptocurrency payment statuses • Escalate payment discrepancies, data mismatches, and client issues to the Team Lead • Keep client management and billing records accurate and updated in real time • Ensure no booking task remains unactioned for more than 30 minutes during a shift • Collaborate with the Team Lead, Ticketing team, and Client Service team

🎯 Requirements

• 1-2+ years in travel operations, hospitality administration, client coordination, or a similar detailed-records role • Experience creating or managing invoices using FreshBooks, QuickBooks, or similar billing platforms • Familiarity with verifying or reconciling card, bank transfer, or digital payments • Strong accuracy across multiple tools and ability to investigate mismatches • Clear, professional written communication for warm, polished client messages • Ability to manage multiple tasks without losing details during busy shifts • Nice to have: itinerary-building tools such as Travefy, Axus, TravelJoy, Tourwriter, or similar • Nice to have: luxury hospitality, premium travel, or high-touch client service experience • Nice to have: Asana or CRM and client communication platform familiarity • Nice to have: knowledge of Known Traveler Numbers and Frequent Flyer Numbers • Nice to have: genuine passion for travel and seamless client experiences
