• Manage calendars, appointments, meetings, and travel arrangements • Coordinate personal and professional schedules for executives • Handle confidential correspondence and communications with discretion • Prepare meeting agendas, presentations, notes, and follow-up action items • Track deadlines, reminders, and ongoing priorities • Assist with personal errands, research, reservations, purchases, and other executive requests • Identify repetitive tasks that can be automated or simplified • Leverage AI tools to improve productivity, documentation, scheduling, research, and communication • Create and maintain simple workflows, templates, and standard operating procedures • Support the CEO, executive leadership, and senior team members with personal and administrative responsibilities • Help executives focus on high-value work by managing day-to-day responsibilities and coordinating projects
• Bachelor's degree in Business Administration or another related field • Minimum 2 years of experience supporting executives, senior leadership, or business owners • Proven experience working remotely for a U.S.-based company is required • Experience supporting a U.S. law firm is an advantage • Bilingual in English and Mandarin Chinese preferred, but not required • Outstanding organizational and time management skills • Strong written and verbal English communication skills • High level of discretion when handling confidential information • Comfortable learning and adopting new technology quickly • Experience using project management platforms such as Monday.com, Asana, ClickUp, or similar • Strong interest in AI tools and workflow automation, with the ability to identify opportunities to improve efficiency • Highly resourceful, detail-oriented, and capable of managing multiple priorities independently • Full-time availability, 8 hours per day excluding a 1-hour break • Ability to maintain a minimum of 6 hours of overlap with the firm's operating hours in Pacific Time • Proof of qualifications and professional references may be requested • Engagement as an independent contractor, with responsibility for tax compliance • Ability to complete a practical assessment during recruitment may be required
