📋 Description

• Own the yearly event calendar of approximately 55 events and adjust it as priorities shift quarterly • Handle event execution and logistics end-to-end, including booth builds, collateral, registration, exhibitor profiles, passes, VAT, procurement, shipping, and swag • Manage event agreements, contracts, invoicing, and out-of-pocket expense reconciliation in Ramp • Coordinate sales and event teams through dedicated Slack channels and approval chains • Assemble and coordinate onsite event teams • Partner with data/ops on pre-event lead list submission and post-event lead routing • Collect and track post-event feedback, survey results, sales input, and lead-quality information • Brief creative/design leads on booth and print materials with the Content & Social Lead • Co-own and continuously develop the event operations playbook/SOP • Serve as the operational backbone for WeTravel's field-event presence

🎯 Requirements

• Hands-on B2B field-event experience, including running booths, vendor relationships, and logistics under deadline pressure • Excellent communication skills • Strong coordination and organizational abilities • Experience building calendars and operational systems • Comfortable owning contracts, invoicing, and expense reconciliation • Ability to manage sales approval chains and coordinate onsite teams • Ability to build repeatable systems and document processes • Comfortable traveling for work-related events once or twice a year • Full legal right to work in Mexico through citizenship or residency • No visa sponsorship or relocation assistance available • Bonus: travel industry, marketplace business, or community-led growth experience • Bonus: familiarity with HubSpot and event ROI tracking • Bonus: experience building or scaling an event playbook/SOP • Bonus: fluency with AI tools for event workflow automation
