📋 Description

• Handle patient communication, care coordination, patient intake, and scheduling • Manage virtual receptionist duties and incoming calls through the Weave VOIP phone system • Complete highly accurate data entry • Support patient forms, intake details, and records management in WebPT • Provide general administrative support to reduce the client’s workload • Support appointment setting, customer service, and sales-related tasks • Assist with email marketing, text message marketing, social media management, and outbound marketing • Help with outreach, networking, marketing campaigns, and business development efforts • Support a concierge, cash-pay physical therapy practice focused on pelvic health and women’s health

🎯 Requirements

• Healthcare administrative experience required • Data entry experience required, with extremely high attention to detail • Patient communication, care coordination, patient intake, scheduling, and virtual receptionist experience required • Patient paperwork, forms, documentation, and administrative support experience required • Email marketing experience required • Sales and appointment setting experience required • Experience with multiple EMRs/EHRs required; WebPT experience preferred • Concierge or cash-pay medical practice experience preferred • Marketing support experience required, including social media, email and text message marketing, SEO support, Google reviews, and outreach messaging • Experience supporting U.S.-based or international companies required • Fluent in Spanish and English with minimal accent • Professional presentation and strong communication skills • High emotional intelligence and comfort discussing sensitive women’s health topics • Tech-savvy, detail-oriented, and comfortable learning multiple systems • Self-starter, proactive, and able to think independently • Comfortable with sales conversations, appointment booking, and patient follow-up • Able to maintain professionalism, confidentiality, and empathy • Relevant work experience • Must provide an NBI Clearance and/or Local Police Clearance before onboarding • Must attend video meetings with camera on when required • Reliable laptop or desktop computer • Stable high-speed internet connection of at least 25 Mbps • Noise-canceling headset • Working webcam • Quiet and professional work environment
